Accudemia vs Workday

Workday and Accudemia are two different platforms, and you need to get in the habit of using both. Think about it like a patient booking an appointment. Accudemia is the outward-facing platform that the patient would use to make an appointment whereas Workday is how you might bill that patient's insurance. Both are part of your job, and they each serve a separation function.

Accudemia allows students to find you, make appointments, and keep your schedule. Accudemia also keeps track of overall data, records on each student, on each tutor, etc. It is invaluable to me as I collect data to present to the university administration, and as such it is important that Accudemia reflects all appointments that occur.

Workday is the behind-the-scenes platform that makes sure you get paid. Like most hourly jobs, you have to input when you worked so that your manager can approve those hours. Putting the name, location, and subject matter of your appointment allows your manager to confirm that the appointment occurred by matching it to Upswing.

The basic gist is that Workday and Accudemia don't talk to each other. So you need to stay updated on both.

Clocking in and Out

Clocking in and out of workday is how you get paid! You should get in the habit of inputting your time in workday after every session of work that you do as a tutor. Below is what should be billing for based on your role.

Tutors

  • Tutoring Sessions
  • Prep time (no more than 30% of your time each week should be dedicated to prep)
  • Help with TC organized study sessions
  • Trainings or Staff Meetings
  • Meetings with TCs or pro staff

Tutor Coordinators

  • All duties listed in tutor section
  • Administrative work (corresponding with faculty/tutors, updating tutor lists, etc.)
  • Content prep time for study sessions or instructional materials
